Manage OIV file sizes
OIV is a memory-intensive program, since it manipulates large image files. Therefore, you can improve OIV's performance by instructing your computer to use more memory while running the program. You can also create smaller presentation files, which will not take up as much memory to run on your machine.
Change memory setting
- Click on the "Edit" toolbar button. For Macs, click on the "ARTstor OIV" toolbar menu.
- Click on "Preferences..." For Macs, this option is also accessible by using the -, keyboard shortcut.
- Click on the "Memory" or "Memory Usage" tab.
- Use the scroll bar to reset the maximum amount of memory that the OIV can use.
- Explanations for each level, from 128 Megabytes to 1 Gigabyte, are provided.
- This setting must be less than the available memory on your computer. 50% of installed memory is a recommended setting; exceeding 70% of installed memory is not recommended.
- Click on the "OK" button to close the window.
- Exit OIV and restart the program to apply the new memory setting.
Change Memory Setting for Windows Vista and Windows 7
If you are using a Windows Vista or 7 machine and the Memory option is not appearing under the Preferences section, you may need to disable the User Account Control setting in Windows.
To turn off the Windows User Account Control setting:
- Please note: You must be logged into your computer as an administrator in order to disable the User Account Control Setting.
Create smaller files
When you reduce the file size of your OIV presentations, they will not take up as much memory to run on your machine. Also, smaller files more portable and easier to share. Here are some suggestions for creating smaller OIV files.
- Delete unused images from the Image Palette
- To reduce the size of your presentation files, remove any unnecessary images from the Image Palette, especially ARTstor images, which are approximately 1 MB each. For more detailed instructions, please see: Deleting images.
- Download smaller images from ARTstor
- If you are placing ARTstor images into presentation slides and not using the zoom function extensively, you can download smaller images. This will not only reduce the size of your presentation file, but also decrease the download time when importing ARTstor image groups.
- Click on the "Edit" toolbar button. For Macs, click on the "ARTstor OIV" toolbar menu.
- Click on "Preferences..." For Macs, this option is also accessible by using the -, keyboard shortcut.
- In the new window that opens, click on the "Image Size" tab.
- Click on the radio button next to the desired download size, whether small (800 x 800 pixels), medium (1600 x 1600 pixels), or large (3200 x 3200 pixels).
- Click on the "OK" button at the bottom of the window to apply this setting to your subsequent downloads.
- Import an Image Group from ARTstor.
- Export your presentation slides
- You can export just the slides from your presentation file. Since the images from the Image Palette will not be exported, the resulting file will be smaller than the original working file. This smaller file can be more easily transported using a portable storage device, like a CD or thumb drive. For detailed instructions, please see: Exporting Read-Only slide presentations.
Transport OIV files
Files created in OIV 3.x can be opened on any other installation of OIV 3.x. This means that the .prs and .shw files are portable, so that you can create them on one computer (i.e. your home or office computer), while presenting them on another (e.g. in a classroom or at a conference).
- However, OIV 3.x files are not compatible with previous versions of the OIV (e.g. 2.5 or 2.6). To open an OIV 3.x file in an earlier version of the software, you will have to export it in a legacy format first. For detailed instructions, please see: Exporting presentations in legacy format.
There are several options for transporting OIV files and presenting them in other locations. You can either use portable storage devices or use your ARTstor Personal Collection.
Use portable storage devices
- Create an OIV presentation and then save it to a portable storage device, such as a CD or thumb drive. For detailed instructions, please see: Saving presentations.
- If you are concerned about the size of your presentation file, consider exporting just the slides from your presentation as a Read-Only .shw file or reducing the size of your presentation files. Smaller files are easier to transport, since you can fit more of them onto the same portable storage medium.
- Since you will need a copy of the OIV program to open this file at the remote location, you may:
- Download the OIV installation file from ARTstor online: Use the remote presentation computer to launch ARTstor and log onto your ARTstor account. Then, go to the "Tools" toolbar menu and select the "Download offline presentation tool" option. This will download a copy of the installation file, which you can use to install the software on the remote presentation computer. For detailed instructions, please see: Installing OIV.
- Save the OIV installation file to a portable storage device, whether the same one you used to save the presentation file, or a different one. This way, you will have a copy of the installation file, which you can use to install OIV onto the remote presentation computer.
- Please see: Installing OIV for PCs or Installing OIV for Macs. In step #7 of the installation process for PC or Macs, use your computer's directory to browse to the location for the portable storage device before downloading the installation file.
- Using any of these methods, make sure that you have access to the OIV program at the remote presentation computer. Then, insert the portable storage device containing your presentation file.
- Start the OIV program.
- Go to the "File" toolbar menu and select the "Open" option.
- The computer's directory will open. Use it to browse to the location of the drive for the portable storage device, find your presentation file, and then click the "Open" button.
- Your original presentation file will open up on the remote presentation computer, just as you initially saved it to the portable storage device.
Use ARTstor Personal Collections
- Once you have created your slide presentation, upload it to your ARTstor Personal Collection.
- You now have two options for giving this presentation at the remote location:
- Present using ARTstor online: Open up the Image Group containing the slide presentation and use the Image Viewer window to conduct your presentation. For more information, please see: Presenting online.
- Present using the OIV: Use one of the methods described above in step #2 for "Using portable storage devices" to ensure that you have access to the OIV program at the remote location. Then, download the Image Group containing your slide presentation into that remote installation of OIV. Your presentation slides will be imported as images into the Image Palette, which you can use to give your presentation.
