Users with instructor-level privileges may also create public folders. These folders are visible to all users at an institution. Should the creator choose, a password can be created to allow others to edit these folders. Access levels can be changed at any time.

Create a public folder

  1. Log in to your ARTstor account. Please note: You must have instructor privileges to create these folders.
  2. In the ARTstor navigation bar, click Share > Create folder.
  3. In the dialog box that appears, enter a name for your folder. Please note: Avoid symbols (e.g. ? /\ <>+ # % etc.) or diacritics (e.g. é å ï ñ ô etc.), which may cause images or groups to save incorrectly or not download properly. Click Next.
  4. In the next window, select the radio button to “Make Folder public at my institution” Click Next.
  5. In the next window, restrict 'write access' to yourself by selecting the first radio button, “only me,” and then click Next.

    OR

    Allow write access to others by selecting the second radio button, “Selected user(s) with password” and entering a password in the space that appears. Click Next.
  6. A confirmation window will appear with the name of your folder. It will now appear in the drop-down folder options of every user at your institution, and those with the password can now unlock the folder to add, delete or edit the contents.

Unlock a public folder for editing

  1. Log in to your ARTstor account.
  2. In the ARTstor navigation menu, click Find > Unlock password-protected folder.
  3. Enter your name and the password the folder creator provided you. Click Submit.
  4. Click Find > Browse image groups to open the folder you just unlocked. You can now add, delete, or rename image groups within it.

Change the settings of my public folder

  1. Log in to your ARTstor account.
  2. In the ARTstor navigation menu, click Share > Manage folder(s). A new window will appear. It will default to show the first tab, “My folders.”
  3. Click once to select the desired folder from the list. In the right side of the window the folder profile will appear. In this area, you can:
    • Change the password; this will effectively re-lock the folder, and users who [previously unlocked the folder to edit will no longer be able to do so.
    • Selecting the radio button to “Make this folder password protected.” For more information about this option, see Password Protected Folders.
    • Delete this folder. For more information about this option please see delete my public folder.
  4. Click Submit. A new window will remind you that changing some access properties will affect other’s access to the folder. Click OK.

View/add notes

Registered users can add personal notes and Instructor-level users can add instructor notes to public folders. For information about searching notes, see notes search.

Personal notes

  1. Log in to your ARTstor account and open an image group.
  2. Click the caption beneath the desired image thumbnail to open the data window.
  3. Click the “Personal notes” tab.
  4. Click once in the free-text field to enter or edit text.
  5. Click Save.

Instructor notes

  1. Log in to your ARTstor account and open an image group. Please note: You must have instructor privileges to write instructor notes.
  2. Click the caption beneath the desired image thumbnail to open the data window.
  3. Click the "Instructor notes" tab.
  4. Click once into the free-text field to enter or edit text. To make these notes visible and searchable to other users accessing this folder, check the “Public” radio button.

    OR

    To keep these notes private, select the radio button “Hide.”
  5. Click Save.

Delete my public folder

  1. Log in to your ARTstor account.
  2. In the ARTstor navigation menu, click Share > Manage folder(s). A new window will appear. It will default to show the first tab, “My folders.”
  3. Click once to select the desired folder from the list. At the bottom of the window, click the red Delete button.
  4. A new window will remind you that deleting a folder will delete all image groups within. Click Delete. Please note: If you would like to save any image groups from this folder to another location before deleting it, see Copying an image group to my folder.
