If the instructor chooses to issue student work folders, these folders will automatically appear in students’ accounts after they unlock or register to the password-protected folder. This folder will have the same title as the password-protected folder, followed by the student’s initials in parenthesis. Both student and instructor can view and edit this folder. This folder also has an expiration date, after which time the student can no longer access the folder.

Unlock a password-protected folder

  1. Log in to your ARTstor account.
  2. In the ARTstor navigation menu, click Find > Unlock password-protected folder.
  3. Enter your name and the password the folder creator provided you. Click Submit.
  4. Now click Organize > Open image group to open the folder you just unlocked.

    If you were given the ‘read access’ password, you can see the folder and its contents. If you were given the ‘write access’ password, you can see and edit the folder and its contents. If the instructor opted to create student work folders, you will see two new folders, one with your initials in parenthesis after the title. That is your student work folder.

Create student work folders

  1. Log in to your ARTstor account. Please note: You must have instructor privileges to create these folders.
  2. In the ARTstor navigation bar, click Share > Create folder.
  3. In the dialog box that appears, enter a name for your folder. Please note: Avoid symbols (e.g. ? /\ <>+ # % etc.) or diacritics (e.g. é å ï ñ ô etc.), which may cause images or groups to save incorrectly or not download properly. Click Next.
  4. In the “Assign ‘read’ access to your folder” window, select the radio button to “Make Folder password protected” and enter a password in the space provided. This password will allow users to unlock and view your folder. Click Next.
  5. In the “Assign ‘write’ access to your folder” window, you can select the radio button “selected users with password” and enter a password in the space provided. This password will allow users to unlock and edit your folder. Please note: The ‘read’ and ‘write’ passwords must be different. Click Next.

    OR

    You can select the radio button “only me” so that users can unlock but not edit your folder. Click Next.
  6. In the “Assign student work folders to be associated with your folder” window, select the second radio button “Yes, enable work folders” and enter an expiration date, after which time you will no longer be able to view the student folders. The students, however, will continue to have access to their student work folder beyond the expiration date.
  7. A confirmation window will appear with the name of your folder. Click Finished.

    You may give your students either the ‘read’ access password or the ‘write’ access password. Once they unlock your folder, their student work folder will be generated and will appear in your and the student’s folder lists until the expiration date. As the creator, you can both view and edit each student’s work folders. Should you change the password they used to unlock your folder, they will no longer have access to the folder.

View/add notes

All registered users can add personal notes to their saved image groups. Instructor-level users can also add instructor notes, which can be searched by other users. Instructor-level users and students can also add student notes. For information about searching notes, see notes search.

Personal notes

  1. Log in to your ARTstor account and open an image group.
  2. Click the caption beneath the desired image thumbnail to open the data window.
  3. Click the “Personal notes” tab.
  4. Click once in the free-text field to enter or edit text.
  5. Click Save.

Instructor notes

  1. Log in to your ARTstor account and open an image group from a password-protected folder. Please note: You must have instructor privileges to write instructor notes.
  2. Click the caption beneath the desired image thumbnail to open the data window.
  3. Click the "Instructor notes" tab.
  4. Click once into the free-text field to enter or edit text. To make these notes visible and searchable to other users accessing this folder, check the “Public” radio button.

    OR

    To keep these notes private, select the radio button “Hide.”
  5. Click Save.

Student notes

  1. Log in to your ARTstor account and open an image group in your student work folder. Please note: Student notes only appear in student work folders.
  2. Click the caption beneath the desired image thumbnail to open the data window.
  3. Click the "Student notes" tab.
  4. Click once into the free-text field to enter or edit text.
  5. Click Save. Please note: If the instructor would like to view these notes the student must be sure to uncheck the 'Hide notes' box before saving these notes.

Rearrange folders within folders

You can now nest folders within folders to better organize your saved images.

  1. Log in to ARTstor and click Share>Manage folder(s). The window that opens will display the folders that you have created and have the rights to move.
  2. Drag a folder title over another folder title and release. The folder you moved will become 'nested' within the other folder, and all image groups within it will also move. You can also drag and drop image groups between folders in this window.
  3. To save your changes click the red 'Submit button before leaving the window.

Please note: The settings of the highest level, parent folder will apply to all folders nested within it. You CAN add folders to a parent folder with student work folders, but you cannot remove nested folders from a parent folder that currently has student work folders associated with it.
